Privacy Notice for Business Contacts 1.1

This page explains how Diplomasafe handles personal data about people we contact for business purposes, for example by email or LinkedIn, before they become customers.

Who is responsible for your data
Diplomasafe ApS, Strandgade 27B, 3. tv., 1401 Copenhagen K, Denmark, company registration number (CVR) 37999164, is the data controller. You can contact us at info@diplomasafe.com.

What data we process
Your name, job title, employer, work email address, and, where available, your work phone number and LinkedIn profile URL. We also keep a record of our contact with you, such as emails sent and your replies.

Where the data comes from
We collect it from publicly available sources, such as your employer’s website and your public LinkedIn profile, and from business data providers such as Clay. We check that email addresses work using an email verification service.

Why we use it, and our legal basis
We use your data to contact you about Diplomasafe’s digital credential platform, because your role suggests it could be relevant to your organisation. Our legal basis is our legitimate interest in marketing our services to businesses (Article 6(1)(f) GDPR). We contact you only in your professional capacity.

Who we share it with
We do not sell your data, and we do not share it with anyone for their own purposes. We use service providers (data processors) that process data only on our behalf and on our instructions, such as our CRM system, our business data provider, our email verification service and our email provider. You can ask us for a list of these providers at info@diplomasafe.com.

How we use technology
We use software tools, including AI, to help us find and research contacts and draft messages. A person at Diplomasafe reviews every contact before we reach out. We do not make decisions about you that have legal or similarly significant effects.

How long we keep it
We keep your data while your role is relevant to our services and we have a genuine business reason to contact you. If you ask us to delete your data, we do so promptly. If you tell us you do not want to hear from us, we keep only your email address on a do-not-contact list, so that we do not contact you again.

Your rights
You can at any time:

1. Object to us contacting you. We will stop straight away.
2. Ask for a copy of the data we hold about you.
3. Ask us to correct or delete your data.
4. Ask us to restrict how we use your data.
